1. Setup Fee — One-Time Payment

Our standard service is a one-time setup fee of €1,400 for the design, development, and deployment of a custom AI appointment automation system.

• Before work begins: If you cancel your project before we have commenced any development work, you are entitled to a full refund of the setup fee within 5 business days.
• After work begins: Once development work has commenced (typically within 48 hours of payment), the setup fee is non-refundable due to the custom and time-intensive nature of the service.
• What counts as "work commenced": Discovery call completed AND any of the following — AI flow design started, AWS infrastructure provisioned, or integration work initiated.

2. Monthly Management Service

The optional monthly management service (€280/month) operates on a rolling monthly basis.

• You may cancel at any time with 30 days written notice to hossein.taybi@yahoo.com
• Cancellation takes effect at the end of the current billing period — no partial month refunds are issued
• If you cancel within the first 7 days of your first monthly payment and we have not yet performed any management work that month, a full refund of that month's fee will be issued

3. Service Delivery Failure

If we fail to deliver the agreed service within the timeline specified in your project proposal (without a mutually agreed extension), you are entitled to:

• A full refund of the setup fee, OR
• A mutually agreed discount or service credit

This clause applies only to delays caused by us, not delays caused by the client's failure to provide required information, access, or approvals in a timely manner.

4. Disputes and Service Quality

If you are unsatisfied with the quality of the delivered system, please contact us within 14 days of delivery at hossein.taybi@yahoo.com. We include 2 rounds of revisions in every project and will work in good faith to resolve any quality concerns before considering refund eligibility.

Refunds are not issued for dissatisfaction with business outcomes (e.g. number of bookings generated), as results depend on factors outside our control including your market, lead volume, and business context.

5. How to Request a Refund

To request a refund, email us at hossein.taybi@yahoo.com with:

• Your full name and company name
• Date of payment and amount paid
• Reason for the refund request

We will respond within 3 business days and process approved refunds within 5–10 business days via the original payment method (Wise bank transfer).

6. EU Consumer Rights

For clients in the European Union: You have the right to withdraw from a service contract within 14 days of entering into it, without giving any reason (the "cooling-off period"), unless the service has already been fully performed or you have explicitly requested that we begin work before the 14-day period expires. By confirming your project and requesting that we begin work, you acknowledge that the right of withdrawal may be lost upon commencement of service delivery.
